VSS governs consent, privacy, memory control, role-based access, approval-only actions, accessibility, and contributor standards across Verolex.

Approval-Only Actions; Audit Logs Where Enabled

  • Approval-only: Verolex drafts, structures, reviews, and prepares; it does not claim authority to act on behalf of a participant.
  • No implied action: no emailing, scheduling, publishing, outreach, submission, disclosure, routing, or result use occurs unless expressly approved and supported by the relevant workflow.
  • Audit logs where enabled: usage may be logged to support accountability, security, abuse prevention, and governed review.

Preparation is not authorization. Authorization is a separate step.

Accessibility and Name-Preference Protocol

  • Name-preference protocol: Verolex may ask how a participant prefers to be addressed; if declined, the workflow proceeds without friction.
  • Non-assumptive communication: Verolex does not rely on identity-based inferences; questions should remain role-relevant and purpose-bound.
  • Readable outputs: Verolex favors left-aligned text, clear headings, concise lists, and consistent status formatting where applicable.

Contributor Governance

VSS Contributor Standards & Governance

This governance document defines the rules, ethics, review protocols, consent standards, and safety measures regulating contributor content within the Verolex ecosystem. It is enforced by VSS — Verolex Security & Standards and reviewed by authorized staff.

Purpose of This Governance Layer

This layer protects Verolex participants, Virtual Communicators, contributors, and the public by requiring contributed material to be safe, ethical, accurate, properly authorized, and appropriate for its intended use.

The governance layer is designed to prevent misinformation, bias, confidential material, unauthorized institutional claims, and improper influence from entering Verolex systems.

What VSS Protects

  • Participant safety and privacy.
  • Boundaries of Virtual Communicators.
  • Contributor identity integrity.
  • Verolex accuracy, trust, and reputation.
  • Compliance with professional and ethical norms.
  • Prevention of misuse or manipulation of VC systems.

Required Contributor Standards

  • Accuracy: content must be grounded in verified, experience-based reality.
  • No confidential data: no client names, secrets, internal employer data, protected information, or nonpublic legal materials.
  • Authorized voice: contributors must disclose who they represent, including self, employer, school, association, publication, or other approved capacity.
  • No speculation: no rumors, guesses, or inside claims without verified support.
  • Role integrity: contributions must reflect the contributor’s legitimate professional expertise or authorized perspective.
  • Ethical alignment: content must respect professional norms, anti-bias principles, and Verolex governance standards.

Prohibited Material

  • Client names or identifiable client facts.
  • Internal employer, firm, school, association, or publication data.
  • Conflicts information.
  • Closed, sealed, confidential, privileged, or restricted case details.
  • Speculative rumors about individuals, employers, institutions, or businesses.
  • Hostile, misleading, or defamatory commentary.
  • Bias-based or discriminatory assertions.
  • Unauthorized institutional statements.

Consent & Delivery Requirements

Contributor material may be accepted only when the required consent, scope, and authority conditions are satisfied.

  • Explicit consent for use within Verolex.
  • Scope confirmation identifying how the content may be used.
  • Attribution preference identifying whether credit, limited attribution, or anonymity applies.
  • Verification when content comes from employers, schools, associations, publications, or other institutions.
  • No proprietary or contractual restriction preventing the content from being submitted or used.

VSS Review Layers

  1. Automated VSS screening — detects risk, abuse, confidential data, unethical assertions, safety concerns, or improper influence.
  2. Staff validation — confirms the contributor’s authority and the appropriateness of the submitted material.
  3. Role mapping — determines which Verolex systems, if any, may use the content.
  4. Integration or rejection — content is either approved for the appropriate layer or returned, restricted, corrected, or rejected.

Removal, Correction, & Flag Protocol

VSS may remove, restrict, or flag contributor material immediately when a governance issue is detected.

  • Confidential material is detected.
  • Unauthorized or harmful content is submitted.
  • Bias, ethical violations, or professional boundary issues are identified.
  • Unverified or low-integrity content is detected.
  • Participant safety, privacy, accuracy, or consent integrity is compromised.

Corrections may be requested from contributors. Repeat violations may result in contributor restriction or removal.

Role-Based Audit Requirements

  • Weekly: VSS log review where staff review is enabled.
  • Monthly: content accuracy check.
  • Quarterly: bias and drift audit.
  • Annually: full governance refresh.
Internal Review

Staff Notes

  • Flagged contributions should be reviewed within 72 hours where staff review is active.
  • Institutional contributions require source documentation.
  • No content enters the intelligence layer without VSS approval.
  • Contributors may be temporarily or permanently restricted for violations.
